What your key role will be
As the Recruitment Assistant, you will contribute to our continued success by being responsible for performing complex and time sensitive administrative processes. As a member of our team, you will help to ensure our recruitment cycles are well supported, and the data management of our records and files are prepared and maintained with accuracy and in a timely fashion. Responsibilities include but are not limited to:
Administrative Support: You’ll perform a wide range of administrative functions; including applicant file management across multiple systems including our ATS (Bamboo HR). You’ll create confidential correspondence and materials; be able to whip up a fillable Adobe form in no time, and proudly become known as our team’s Excel expert.
Attention to Detail: You’ll be happiest when working with the details that support the bigger picture and you take great pride in rolling up your sleeves to get even the smallest of tasks done.
Adaptability: You’ll have the ability to adapt to and manage multiple tasks in a fast-paced environment, including the ability to demonstrate flexibility and navigate your priorities independently.
Communication: You’ll have excellent written and oral communication skills as well as the ability to convey information clearly and simply. As well, you are an active listener who ensures you understand directions and information.
Confidentiality: You’ll navigate your role while exercising considerable confidentiality, tact, and diplomacy. You’ll have a keen sense and awareness of the rules and procedures with respect to the handling of confidential and sensitive information with discretion.
Team Player: You’ll genuinely enjoy engaging with your teammates to get the work done. You believe in the importance of building and maintaining strong working relationships.
Time Management: You’ll plan and manage your time and resources to ensure work is completed efficiently, timely and with minimal supervision.
What you bring to this role
You will have experience and success in many of the following areas:
- You have completed Grade 12
- You have post-secondary courses related to office administration and or recruitment and selection plus considerable related experience; or an equivalent combination of training and experience
- You have considerable knowledge and experience supporting a fast-paced dynamic team
- You have top-notch administrative and organizational skills
- You are skilled and confident working with Adobe Acrobat and Microsoft Office software (Word, Excel, Outlook)
- You have experience working with (or the ability to learn) an Applicant Tracking System (ATS), knowledge of Bamboo HR is an asset
- You are motivated, compassionate, and empathetic with a genuine desire to help others
- You support and promote a diverse, inclusive, and healthy workplace
- You are confident performing queries with (or the ability to learn) PRIME, CPIC and Justin
- You can pass and maintain a security clearance, including a background check and polygraph

Salary: $58,348 to $68,557 (2024 rate) per year plus benefits
Hours of Work: 35 hours per week. We offer flexibility to participate in the earned time off program or compressed work week as well as the option to work a hybrid schedule once training and the probation period are successfully completed.
