Job Purpose:

The Manager, Co-op and Internships provides leadership and strategic management of the University’s co-operative education and internship programs, and is responsible for policy development, budget management, staff supervision, and managing key relationships with internal and external stakeholders related to work integrated learning. This position will ensure Ontario Tech co-op programs meet and maintain Co-operative Education and Work-Integrated Learning (CEWIL) Canada accreditation requirements for both existing and new co-operative education programs. This position contributes to establishing the strategic direction and leadership for the Co-op, Careers & Experiential Learning department, and developing highly productive staff, systems, and processes.

Responsibilities:

Program Management, Expansion and Accreditation:

  • Lead the design, delivery, and management of services provided to co-operative education and internship students including liaising with academic departments and student service units regarding co-operative education and internships.
  • Oversee the development and growth of innovative and new co-operative education and internship programs and services to grow institutional enrollment, improve student retention and enhance academic and career decisions.
  • Analyze labour market information, determine strategies to take advantage of emerging occupational trends, and integrate into planning for new co-op and internship programs.
  • Build upon existing relationships within the institution with various departments to explore options for future co-op and internship opportunities.
  • Implement internal structures to ensure maximum efficiency and actively develop a culture of collaboration, learning, and continuous improvement.
  • Oversee the preparation of students for work terms and give guidance on career development topics such as resume and cover letter writing, job search strategies, interview preparation, career exploration, report writing, workplace communication, and workplace professionalism in collaboration with colleagues.
  • Review, research, and implement best practices to ensure students are prepared for the co-op process and the self-reflection required to be successful.
  • Ensure the quality of work term opportunities and oversee the development of new opportunities.
  • Track, monitor and analyze information systems data on co-op and internships.
  • Optimize the use of information management systems to support better decision making and reporting.
  • Oversee the review and evaluation of work term requirements including learning objectives, student and employer midterm evaluations, student and employer final evaluations, and final work term reports.
  • Direct the Co-op and Internship team to address work term challenges.
  • Oversee the mediation and guidance to students, faculty, and employers to resolve performance issues and interpersonal conflicts. Monitor the investigation of terminations and guidance to students about the appeal process when their performance has been deemed unsatisfactory.
  • Oversee employer and student engagement activities to ensure the development of successful long-term partnerships.
  • Act as the primary contact for CEWIL Canada and lead the co-operative education accreditation process for all cooperative education programs (if the institution decides to pursue), by designing programs that meet accreditation criteria and standards resulting in co-operative education programs that are competitive and widely recognized in Canada.
  • Support all aspects of CEWIL accreditation if/when appropriate. This includes writing the accreditation application, providing all data, and demonstrating institutional commitment.
  • Maintain accreditation for all co-operative education programs once granted and apply for programs to be reaccredited when needed.
  • Ensure all components of CEWIL’s accreditation criteria are included in key institutional documentation (e.g. academic calendars).
  • Monitor and evaluate each co-op program’s delivery and structure, co-op work term experiences, potential risks, and required documentation, co-op curriculum, co-op materials, faculty involvement in assessment criteria, when drafting applications for accreditation.
  • Track key metrics and engage in regular reporting of student and employer WIL participation.

Policy and Process Development:

  • Develop new co-op and internship policies and processes by consulting the Deans, WIL staff, faculty, employers, and students.
  • Review, establish and monitor operational processes in the CEELCD office.
  • Monitor trends and best practices within post-secondary institutions’ WIL programs provincially, nationally, and internationally and develop policies that are competitive, strategic, and student-centered.
  • Build policies that outline partnership requirements, student/employer responsibilities, and the impacts of not meeting co-op progression requirements.
  • Refine and evaluate co-op and internship processes and policies over time.

Strategy and Evaluation:

  • Develop and lead the implementation and evaluation of the overall vision, strategy and operational plans for the cooperative education and internship that supports the university’s strategic and academic plans.
  • Develop short and long-term plans to promote co-op and internship within the University and externally to business, industry, and government.
  • Work collaboratively with unit leadership and business development staff on external relations strategies and relationship management.
  • Maintain excellent working relationships and collaborate with other units to align initiatives in support of University’s strategic mandates.
  • Identify systemic issues for consideration and improvement, and opportunities for strategic change.
  • Lead a quality review and evaluation process of cooperative programming.
  • Identify quality standards, develop processes for cooperative education staff, and advocate for work integrated learning across the university.
  • Liaise with on-campus departments that support WIL programs including International, Human Rights Office, Student Life, Academic Advising, Registrar’s Office and other units for consideration in future strategic planning of WIL at the university.
  • Lead conversations with functional units throughout the institution (e.g. Registrar’s Office, Information Technology, Institutional Research) to ensure streamlined integration of records, tools, and systems that impact co-operative education.
  • Ensure that effective communication takes place between the Co-op, EL and Careers team and other campus offices.
  • Prepare and coordinate progress reports and track departmental KPIs and statistics as requested.
  • Collaborate with Executive Director in annual strategic planning sessions to establish long and short-term goals for the department. Lead and delegate projects arising out of strategic planning.

Leadership and Staff and Financial Management:

  • Provide guidance, day-to-day supervision, and oversight to staff on all matters related to the successful operation of the co-operative education programs.
  • Responsible for hiring, training, and onboarding new staff.
  • Foster professional development and team-building opportunities and manage performance through both formal (performance reviews) and informal methods (regular feedback, coaching).
  • Lead regular team meetings and individual check-ins with co-op staff to provide support, answer questions, and debrief.
  • Provide regular co-op updates on behalf of the team to the Executive Director.
  • Create leadership opportunities for staff ensuring that each member of the team has core projects and areas of responsibility in addition to general duties.
  • Develop and implement short and long term operational plans for the team, consistent with unit mandate and goals and university vision and mission.
  • Support the management of the co-operative education budget and play an active role in the department’s annual budget process.
  • Play a key role in program growth expansion and impact on budget and staffing requirement.
  • Undertake new strategic initiatives within the CEELCD unit.
  • Monitor and process staff expenditures and professional development expenses.
  • Be a key resource in monitoring and modifying the co-op fee schedule and monitor student payments in departmental accounts.
  • Proactively communicate co-op data and services to key stakeholders.
  • Maintain strong working relationships with Deans, Department Chairs, and Program Coordinators in relation to co-op and internship education programs.
  • Support faculty in new program development related to cooperative education to ensure the appropriate model is implemented.
  • Monitor the consultation of faculty in the creation and maintenance of the academic co-op Course Maps created for co-op students with Academic Advising.
  • Keep abreast of current developments and emerging trends in co-operative education through active participation in conferences, workshops, professional organizations and research/literature.
  • Establish tools and resources to actively measure and track co-op activities with an eye to continuous improvement and reporting to key stakeholders.

Education Required

  • Completion of a university program consisting of four academic years.
  • Post Graduate Certificate in Career Development Practitioner an asset.
  • Certified Career Development Practitioner (CCDP) designation an asset.
  • Certified Career Strategist (CCS) designation is an asset.
  • An equivalent combination of education and related
    experience may be considered.

 Experience Required

  •  5 to 7 years in career development and work integrated learning in postsecondary institutions and/or community employment organizations.

 Skills

  •  Experienced people manager with proven ability to mentor, coach and performance manage.
  • Excellent communications skills (verbal, written and interpersonal) to effectively address conflict and facilitate relationships with diverse audiences.
  • Strong customer service orientation with the ability to build rapport with others quickly and maintain long term partnerships.
  • Excellent judgment and capability for crisis management, including ability to quickly evaluate problem situations, find and implement appropriate solutions.
  • Strong critical thinking with the ability to leverage existing resources to solve problems.
  • Proven ability to organize and handle a variety of projects, deadlines, and schedules simultaneously and independently in a fast-paced environment.
  • Innovative, flexible and adaptable with a commitment to teamwork and integrity.
  • Strong computer and technology skills and interests.
  •  A valid driver’s license is required.
